Constitution of the Capitol City Table Tennis of Jefferson City, Missouri

 

 

Article I: Name

Section 1: The name of the organization shall be the Capitol City Table Tennis Club.

 

Article II: Purpose

Section 1: To promote table tennis as a sport and recreational activity in Jefferson City, Missouri and the surrounding area.

Section 2: To provide a venue where table tennis players of all skill levels can play on a regular basis in a safe and friendly environment.

Section 3: To provide an opportunity for table tennis players to compete and increase their skill level. 

 

Article III: Membership

Section 1: Membership shall be open to everyone, irrespective of age, race, culture, gender or capability.

Section 2: A member shall be defined as an individual who has requested membership, has given their name and contact information to the club Secretary.

Section 3: Every member has equal rights

Section 4: Every member has the right to vote and to run for a club office.

 

Article IV: Club Ethics

Section 1: Code of Conduct: A code of conduct will be enforced during all meetings to ensure the Club meets the most basic ethical standards. Officers, members, guests, and visitors attending the playing/practices sessions, Admin meetings, or any other Club events, are strongly encouraged to treat their peers with dignity and respect.

Section 2: The Golden Rule: Treat others as you would treat yourself in the same exact situation. Violent, offensive, rude, blatant, flagrant, acts and/or remarks, will not be tolerated.

Section 3: Non Discrimination Policy: The Club will not tolerate acts of discrimination or discriminatory remarks made on the basis of national origin, financial, social status, religion, race, ethnicity, color, sex, sexual orientation, disability, handicap, speech impediment, or a non-local accent. 

Article V: Playing Fees

Section 1: The per session fee for a non-student member shall be two dollars.

Section 2: The per session fee for a student member shall be one dollar.  A student is an individual under the age of 21 that is attending school full time.

Section 3: There will be no per session fee for a visitor’s first two visits.

Section 4: The per session fee for a non-member shall be five dollars.

Section 5: A yearly individual membership of $60 is available to non-student members.  This fee entitles the member to participate in the weekly playing sessions without cost for a year from the date of payment.  This fee may also apply towards the cost of special events held by the club during the year.

Section 6: A yearly individual membership of $30 is available to student members.  This fee entitles a student member to participate in the weekly playing sessions without cost for a year from the date of payment.  This fee may also apply towards the cost of special events held by the club during the year.

Section 5: A yearly family membership of $90 is available.    This fee entitles any member of the members family to participate in the weekly playing sessions without cost for a year from the date of payment.  This fee may also be apply towards the cost of special events held by the club during the year.

Section 7: The revenue from playing fees will be used to for club purposes only.  Valid expenditures include, but are not limited to: the maintenance and purchase of table tennis equipment for the club (ie. tables, nets, balls), facility rental fees, costs associated with club sponsored events.

 

Article VI: Meetings

Section l: Playing sessions are scheduled weekly on either Friday 6:00 pm to 9:00 pm or Saturday 1:00 pm to 4:00pm at the Shikles Recreation Center.  A schedule shall be maintained by the Secretary on the club’s website.

Section 2: A regular adminstrative meeting will be held monthly during the third playing session of each month. This meeting is for the discussion, planning, and voting on club issues and events. It will be held before the playing session.

Section 3: Special administrative meetings may be held with 24 hour notification of club members by e-mail and/or phone and the posting of a notice on the club’s website. 

Section 4: Club members can propose issues during the administartive meeting, but are encouraged to communicate the issue prior to the meeting by sending an e-mail to the secretary at ccttc@ccttc.net.

Section 5: An official vote at any regular or special administrative meeting requires at least five (5) members, two of which must be officers.

Section 6: Any actions regarding club activity or club property must be voted on and approved at an administrative meeting.  Approval requires a simple majority.

Article VII: Officers

Section 1: The officer positions are President, Treasurer, Secretary, and Special Events Chairman.   

Section 2: Only members in good standing can be elected to fill an officer postion.

Section 3: It is the responsibility of the officers to serve in the interests of the club’s members. To do this, they control and coordinate all of the Club’s activities, by-laws, and Web Site with the consent of the members.

Section 4: The term of office for all officers will be one year.  Elections will be held each year in October during the regular administrative meeting.

Section 5: Officers should attend at least two playing sessions per month and at least one regular administrative meeting per quarter.

Section 6: The duties of the President shall be:

a.       To ensure the club operates according to the club constitution.

b.      To represent the club in dealings with other business organizations.

c.       To lead the regular monthly administrative meetings.

d.      To ensure that decisions voted on by the club are followed.

e.       To assist other officers when needed.   

Section 7: The duties of the Treasurer shall be:

a.       To manage the club bank account.

b.      To collect and deposit playing fees into the club bank account.

c.       To pay expenditures approved by the club.

d.      To provide a finance report (account balance) at each administrative meeting.

Section 8: The duties of the Secretary shall be:

a.       To maintain club membership information and other paperwork including the Constitution.

b.      To diseminate club information to club members by phone, e-mail or letter.

c.       To record and report the minutes of administrative meetings.

d.      To maintain the club website on www.ccttc.net.

e.       To monitor and respond to e-mails sent to the club at ccttc@ccttc.net.

Section 9: The duties of the Special Events Coordinator shall be:

a.       To concieve and organize special events that promote the purposes of the club stated in Article II.

 

Article VIII: Amendments

 

Section 1: All amendments to the Constitution must be approved by official vote at a regular club administrative meeting.  Approval requires a simple majority only. 

 

Section 2: Proposed amendments must be made available to club member two weeks before a vote.

 

Section 3: A log of the amendments shall be kept in this section.  The log shall include a description of the change, the date the change was approved, the date the change was made and who made the change.
